Before you start

You'll need a GOV.UK One Login account. GOV.UK has also promised an offline route and a contact centre for landlords who can't register online (GOV.UK Housing Hub).

Your landlord entry

  • Individuals: name, date of birth, home address, phone number and email.
  • Companies and organisations: name, legal form, address (not a PO box), Companies House or charity number, the directors, trustees or partners, and a nominated contact.

Each property: part 1 (always needed)

  • Address, ownership type, property type and number of bedrooms.
  • Whether it's currently let.
  • Your name and a correspondence address in England or Wales.
  • Contact details of any freeholder, superior landlord or managing agent.

Each property: part 2 (if let, can follow within 28 days)

Item What to have ready
Occupants number of people and households
Licence HMO, additional or selective licence number, if the property needs one
Furnishing furnished, part furnished or unfurnished
Rent amount, how often it's paid and which utilities are included
Gas safety record date issued, if there's a gas supply
Electrical safety (EICR or EIC) expiry date
EPC the certificate details and a copy; any minimum energy efficiency exemption

Source: draft regulations, Schedules 2 and 3 (legislation.gov.uk).

The 28-day rules

Part 2 information can be added up to 28 days after you create the property entry; if it's still missing after that, the entry becomes inactive. Once registered, you must update information within 28 days of it changing, for example after a new gas safety check or a rent change (Property118).

Certificates close to expiry

Renew a certificate that expires before your deadline first, so you don't have to update the entry a few weeks later. The checklist tool flags gas safety records older than 12 months, EICRs older than 5 years and EPCs older than 10 years.
